What is Project One?

Previously, each campus/division of the University of Arkansas System used financial, human resource and student software of its choice.

In 2014, the Board of Trustees of the University of Arkansas engaged BerryDunn to conduct an Information Technology Assessment for all campuses and units of the University of Arkansas System.

The Board’s purpose was to assess IT System-wide and identify opportunities to reduce costs, create operational efficiencies and improve security.

Top Recommendation: “The University System should consider moving to a shared ERP platform over time. Moving to common and shared ERP products requires careful and deliberate discussion and planning. It can lead to cost reductions and operational efficiencies but requires significant change for people and processes at the institutional level. Currently several System schools are considering, or will need to consider, new ERP systems because the current system is at end-of-life.”

At the Board of Trustees Annual Retreat in August 2015, the Board charged the President to move forward with the project. The President met with his cabinet of Chancellors in September 2015, and support to move forward with project was unanimous.

"Project One" is the title given to the process of bringing all University of Arkansas System into one common software program for both Finance and Human Capital Management (payroll and human resources). The software selected through the formal procurement process is Workday. ASMSA transitioned to Workday on July 1, 2020.

How does Project One impact you?

The implementation of Workday will significantly change and improve current financial and human resources/payroll processes for our campus. Some of the highlights include:

Finance

ASMSA's Finance Department will migrate from paper-based forms to an employee self-service platform within the Workday software. This will allow you to track the entire process for things such as requisitions, travel authorizations and reimbursements. You will be able to see exactly where your request stands at any time. Budgetary Heads (referred to as Cost Center Managers in Workday) will be able to see their departmental budgets in real time. Approval processes will be electronic and routed through Workday, eliminating the need to collect manual signatures.

Human Resources/Payroll

The transition to Workday will give you greater insight into your payroll and benefits information. Employees will be able to initiate things such as address changes and tax elections. You will have the ability to view your pay check information, W-2 forms and benefit elections online as well. All leave requests and time sheets (if applicable) will be entered directly into the software system. Approval processes will be electronic and routed through Workday, eliminating the need to collect manual signatures.

Access

One of the best features of Workday is the access availability. You will be able to log into and perform system functions in Workday from your work or personal computer, tablet, smartphone, etc.
